The Role

We are seeking an organized, creative, and energetic Event/Store Coordinator to join our team. This is a hybrid role perfect for someone who loves variety. You will be the “face” of our brand at our storefront/showroom—assisting walk-in clients and managing inventory—while acting as the logistical backbone for our event productions.

🔑 Key Responsibilities

1. Store & Showroom Operations

  • Front-of-House: Serve as the first point of contact for walk-in clients, phone inquiries, and emails. Provide a warm, welcoming environment that reflects the Party Stories brand.
  • Visual Merchandising: Maintain the cleanliness and aesthetic appeal of the showroom/store. Update displays seasonally to showcase our rental inventory and design capabilities.
  • Inventory Management: Track retail stock and rental inventory (linens, decor, props). Conduct weekly cycle counts and manage check-in/check-out processes for event rentals.
  • Sales: Assist customers with retail purchases, balloon orders, and booking rental items.
  • Retention & Renewals: Proactively reach out to past clients to secure re-bookings for annual events (holiday parties, galas, birthdays).
  • Upselling & Cross-Selling: Identify opportunities to enhance client events by suggesting add-on services, premium rentals, or custom decor packages that fit their vision and budget.
  • Post-Event Follow-Up: Conduct post-event debriefs with clients to gather feedback, request reviews/testimonials, and ensure 100% satisfaction.

2. Event Coordination

  • Client Communication: Assist the owner in communicating with clients, ensuring all details are captured in our system.
  • Vendor Liaison: Coordinate with vendors (caterers, florists, venues) to confirm delivery times and setup requirements.
  • Logistics & Prep: Create event timelines, pack lists, and “run-of-show” documents. Pull and pack decor items for upcoming events.
  • On-Site Assistance: Assist with event setup (styling/decor/balloon modeling) and breakdown as needed (requires some weekend availability).

3. Administrative Support

  • Draft contracts, invoices, and proposals.
  • Manage the company calendar to ensure no double-bookings.
  • Assist with social media content creation (snapping photos of new inventory or event setups).

✅ Qualifications & Requirements

  • Experience: 1–3 years of experience in retail, hospitality, or event planning.
  • Organization: Exceptional attention to detail. You rarely let a task slip through the cracks. Must be punctual.
  • Tech Savvy: Proficient in Microsoft Office/Google Suite.
  • Communication: Strong verbal and written communication skills. You can diffuse stress with a smile.
  • Physicality: Ability to lift up to 30 lbs (decor boxes, small furniture) and stand for extended periods during event setups.
  • Schedule: Must be available to work weekends and evenings based on the event calendar.
  • Traveling: Should be willing to travel for events.
